Tax Exemption

The Tax Exemption function allows authorized staff to remove taxes from a bill. This is a sensitive operation typically reserved for specific scenarios, such as employee meals, food waste, complimentary items for guests, or other valid business reasons.

To ensure security and accountability, this action requires manager-level authorization and is thoroughly logged across all system reports and receipts.

 

How to Apply a Tax Exemption at Checkout

1. Log in to the POS using your Store Account.

2. After finalizing the order, click the ​​"Exempt Tax"​​ button at the checkout page.

3. If the food contains multiple tax rates, a pop-up window will appear to select the tax exemption type.

After confirming a tax exemption, you can reselect other taxes by clicking the “Exempt Tax" button again.

4. A pop-up window will prompt you to enter a "Tax Exemption Reason", which is optional and will be displayed in the Tax Exemption Report.

5. If the operator has not obtained tax exemption authorization, a security prompt will appear; the PIN code of the employee who has obtained tax exemption authorization (Shopowner/Manager) needs to be entered:

6. After the tax exemption reason and the correct PIN are entered(if needed), the tax exemption amount will be displayed in the fee structure. 

Clicking the "Cancel" icon on the right can clear this tax exemption.

7. If you have dual-screen POS hardware, customers can log into their accounts on the CDS(Customer Display System), check the specific details of applied tax exemptions, including the exempted tax types and corresponding amounts. This provides transparency and allows customers to confirm the exemption details during the checkout process.

8. Finalize the payment as usual to complete the exempted transaction.

 

Tax Exemption on Special Payment Scenarios

Tax Exemption on Split Bill

The Tax Exemption function is supported on each bill after it has been split. 

Different tax exemptions can be selected for different sub-bill items. Even if one bill has been paid, the remaining sub-bill can still change exemption options/clear tax exemption.

Tax Exemption on Mixed Payments

If a transaction uses mixed payments (e.g., part cash, part credit card), the Tax Exemption must be applied ​before​ any partial payment is finished.

Once a partial payment has been made, the Tax Exemption option will be disabled​ for the remaining balance of that bill. This means that you cannot select a tax exemption, nor can you cancel the tax exemption operation that has been selected.

 

Where to View Tax Exemption Records

Every tax exemption action is recorded and can be reviewed in the following places:

 

Bill

The receipt will clearly display a line item noting "xxx Tax Exempt" along with the name or ID of the Operator.

This can be checked from Back Office > Reports > Transaction Reports > BillMore details will be shown when you click on the "Operate".

 

Order Record

Within the Order Record of POS, the system displays the specific tax types that were exempted (e.g., "Additional county tax Exempt") and the exact amount exempted for each tax. This detailed information is preserved even if the order is later fully or partially refunded.

 

Shift Report

All tax exemptions applied during a specific shift are recorded in the shift report. This includes the exempted tax types and the exact amounts as operated by the staff. This allows for clear verification and handover between shifts.

 

Tax Exemption Report

A dedicated report is available in the back office to record all exempted transactions, filtered by Tax categories, Servers, Approvers(managers with tax exemption authorization), and Order Records, showing more details such as Exemption Reason.

This can be checked from Back Office > Reports > Employee Reports > Special Case > Exempt Tax.

 

Kitchen/Receipt Printer:

The customer and kitchen copies of the receipt will also show the tax exemption for clarity.
